About this feature: At times, you may wish to create an Activity with a large number of shifts but also prevent volunteers from signing up for certain shifts. To do this, you can assign a “placeholder volunteer” to those shifts in order to temporarily “fill it”.
Step 1:
Go to: People, then “Add a Volunteer” found in the sidebar under Volunteers
Enter the details for this “Placeholder” volunteer
Click the [Save] button
Step 2:
Go to: Configuration, then click on “Manage Activities” found in the sidebar under Activities
For long activity lists, use the filters in the top panel and click the green [Filter Activities] button
Mouse over the Options icon to the left of the Activity and select “Edit”
Click on the “Schedule” tab
Select the desired shift(s):
Scroll to the bottom and select “Override Minimum Volunteers” from the “Change Selected” dropdown list
Set the “Number of Volunteers” to 1 and click the [Override Minimum Volunteers] button
Select “Override Maximum Volunteers” from the “Change Selected” dropdown list
Set the “Volunteers Required for Auto Lock” to 1 and click the [Override Maximum Volunteers] button
Click the [Close] button to close your Activity
Step 3:
Click the person icon at the top of the screen and type the person’s name into the Quick Search.
Click on the person’s name from the list that appears.
Click on the “Assign” tab
Change the filters (if necessary) to display the desired Activity
Click on the name of the desired activity
In the “As” column (i.e. Assign), check the box for each shift you wish to temporarily fill
Click the [Save] button
When you need to make those shifts available once again, edit the “Placeholder Volunteer” and remove it from the shifts and follow the instructions in “Step 2” to reset the minimum and maximum number of volunteers needed on those shifts.
