Archiving Volunteers

👀 Whether it is an applicant that is not a right fit, or a longtime volunteer retiring, archiving volunteer profiles is a necessary task.

👉 Archiving One Profile:

When it is time to Archive a volunteer, open their profile and click on Main tab followed by Miscellaneous. Using the Status drop down select Archived. Once this has been done, an additional drop down will appear that will prompt a reason for archiving. Being consistent with the reasons will allow for more accurate data reporting

👉 Archiving Multiple Profiles:

Volunteer Impact also permits bulk archival of profiles. Perhaps after an event has finished, or you wish to clean up the older applicant list. Clicking on the People icon and choosing Archive Volunteers will allow this option. Use the status boxes and Add Search Criteria to narrow down the volunteers to the list to be archived.


🤩 Admin Tip: Archiving VS Removing:

Archiving a profile allows you to bring it back to Accepted if you choose. Their information can continue to be reported with their Custom Fields and Qualifications remaining in their profile.

Removing a profile is deleting it from your system without the ability to bring it back.

In both cases, the hours the volunteer has worked will remain in your account and will show up in reports.
