Schedule Settings

To adjust the schedule settings for your account, navigate through Configuration >> Activities >> Schedule Settings.

Enable Group Scheduling

Setting up Group Scheduling enables identified profiles to represent an entire group. Group profiles can sign up for Activities in MyImpactPage.com and specify the number of group members associated with that signup. Administrators can also decide whether or not to allow groups to sign up for specific Activities.

  1. Configuration >> Activities >> Schedule Settings.

  2. Check the box beside “Enable group scheduling”

  3. Click the [Save] button


Show Number of Shift Openings

By letting volunteers see how many openings there still are for a shift, you’ll be letting them know how close a shift is to being full.

  1. Configuration >> Activities >> Schedule Settings.

  2. Check the box beside “Show number of shift openings to volunteers”

  3. Click the [Save] button


Allow volunteers to see who is assigned to an activity or activity shift

Allow volunteers to see who else is on the schedule for a shift or activity.

  1. Check the box “Allow volunteers to see who is assigned to an activity or activity shift”

  2. Click the [Save] button

Note: Only volunteers can change their privacy settings; an administrator cannot change this for a volunteer. If a volunteer has not given permission to have their name displayed, “Anonymous” will be shown instead.

Identify Anonymous Volunteers

Admins on Better Impact may need to identify volunteers who have their profiles set to anonymous. This guide outlines a clear process to achieve that using the "Personal Profile Raw Data Report" feature.

Identifying anonymous volunteer profiles allows administrators to take corrective action, such as informing volunteers to modify visibility settings if needed.

  1. Go to Reports >> General Reports >> Personal Profile Raw Data

  2. Set Search and Filter Criteria: - Choose the volunteer statuses you wish to include in the report.

  3. Click the "Search" button to generate the initial list.

  4. Customize the Report:

    1. Once the search is completed and the list of volunteer names is displayed, find the "Columns to Include" section.

    2. Check the box next to ShowOnWhoIsScheduledForActivityShiftList

  5. Run the Report and Review Results: 

  6. Click View Profiles to see on the screen or Export Profiles to export to Excel or other formats.


Auto Confirm Assignments

If unchecked, after you assign a volunteer or after a volunteer self-schedules, a short confirmation step will be required by the volunteer to ensure they understand that they are on the schedule. If checked, this step will not be required, and they will be treated as confirmed automatically.

  1. Check the box beside “Automatically confirm assignments when they are created”

  2. Click the [Save] button

Note: Volunteers may still remove themselves from a confirmed assignment if this option is enabled in the Visibility and Automation settings for the activity.


Warn Administrators of Schedule Overlaps

Administrators are warned when they attempt to assign a volunteer to a shift that conflicts (overlaps) with another scheduled activity assignment. This warning is not sent via email. Despite this warning, administrators maintain the capability to override the restriction and assign volunteers to overlapping shifts when necessary, providing flexibility for special scheduling requirements.

  1. Check the box beside “Warn administrators when a volunteer’s shift assignment overlaps with other shift assignments for the volunteer”

  2. Click the [Save] button


Prevent Volunteers from Signing up for Overlapping Shifts

With this option enabled, volunteers will be prevented from signing up for shifts that overlap with their existing assignments. When volunteers attempt to sign up for overlapping shifts, a warning dialogue box will display, and the 'Sign Up' button for shifts that conflict with existing commitments will not appear. This restriction helps ensure volunteers don't accidentally double-book themselves. This warning is not sent via email.

  1. Check the box beside “Prevent volunteers from signing up for shifts that overlap with their existing assignments”

  2. Click the [Save] button

Note: While volunteers are restricted from self-assigning overlapping shifts when this feature is enabled, administrators retain the ability to manually assign volunteers to overlapping shifts if necessary. This provides flexibility for special circumstances where overlapping shifts might be required.
