Associate a Client to an Activity

Note: An activity can only be associated with one client, but a client can be associated with multiple Activities.

  1. Go to Configuration, then click on “Manage Activities” found in the sidebar under Activities

  2. Click the [+] button in the “Activities” header and click on “New Activity”, or

    • Mouse over the Options icon to the left of an Activity to “Edit” a current listing

  3. When you have created (or edited) all the relevant information, click on the “Client” tab

  4. Enter a few letters of the first and/or last name of the Client you wish to associate with this Activity

    • Optional: check to “include archived clients in search”

  5. Click the [Search] button

  6. Select the desired client by clicking the round box to the left of the name

    • If you want to know more about the client, you can select “View” from the Options icon beside the client’s name

  7. Click the [Save] button

IMPORTANT: In order to complete the steps above, a “Limited Administrator” needs access to the option “Associate Clients with Activities”. Administrators with access to both the volunteer and client module can ‘View/Create/Remove’ associations. Administrators without access to the client module can only view whether or not there is an association (no client name will be displayed).


Remove Client from Activity

  1. Go to Configuration, then click on “Manage Activities” found in the sidebar under Activities

  2. Mouse over the Options icon to the left of an Activity

  3. Select “Edit”

  4. Click on the “Client” tab in the Activity

  5. Click the [Remove Association] button to the right of the client’s name

    • If there are hours logged against the Activity, the hours and any feedback will not be deleted, but it will no longer be associated with the client (that is associated with the Activity)

  6. Click the [Remove Association] button to confirm


Assign Volunteer to Client Activity

  1. Click the person icon at the top of the screen and type the person’s name into the Quick Search bar

  2. Click on the person’s name from the list that appears

  3. Click on the “Assign” tab

  4. In the “Filter Activities” section, check the box “Only include activities that are associated with this volunteer’s clients”

  5. Optional: Select any other filters desired

  6. Click the [Filter Activities] button

  7. Click on the link to the desired activity and assign the volunteer to the desired shift(s)

    • If this is an unscheduled or seasonal activity, you’ll only need to check the “Signed Up” box

  8. Click the [Save] button

IMPORTANT: There is no filter in the Assign menu options (From Unscheduled List, From Scheduled List) to show only activities that are associated with clients. If you want to be sure you are only assigning the volunteer to activities associated with their clients, you’ll need to assign them within their profile.
